Business Writing - Know Your Audience (Part 2)

Did the last blog topic get you thinking about what might need to be done differently if your audience is not a North American company or business person? Let's take a look at what protocols should be followed if you have a Chinese business audience. (Did you know that China is one of the fastest growing business markets in the world?)

Here are five examples about writing Chinese memos that I found to be the most different from what I am used to seeing or doing in North American business writing.
They are as follows:

1. When writing letters, make sure your letterhead includes a fax number.

2. Dates are typed toward the right side of the page without a complimentary close.

3. Dates are typed immediately under the sender's name in year-month-day format(ex:2007-05-16).

4. For domestic mail in China, it is important to use only 260m/m x185m/m(10.24X7.28inch)envelopes.

5. Chinese businesses use A4 paper
210x297m/m (8.27x11.7 inches) rather than the 81/2x11inch(279.4x431.8mm).

Here are some examples what I found to be the differences from what I am used to seeing or doing in North American business writing.

Letters:
Make sure that your letterhead includes a fax number.

The sender name and date are typed toward the right side of the page, without a complimentary close.

Memos:
Below the date an in the center of the page, type the subject (you don't need to say "subject," or "re").

Type your name again along the left side of the page. Include contact information if it is not included in the letterhead.

Paper:
8.27 x 11.7 rather than the 8 1/2 x 11 inch letter and 11 x 17 inch legal size.
